Privacy Policy

1. Introduction — scope and acceptance

Funde Technologies (“we”, “us”, “our”) is committed to protecting and respecting your privacy. This Privacy Policy explains how we collect, use, disclose and protect personal information when you visit or use the Site, Apps or Platform (collectively, the “Service”).

By using the Service you accept the practices described in this Privacy Policy. If you do not agree, please do not use our Service.

2. Controller and contact

Funde Technologies is the data controller for personal information processed under this Policy. For questions, requests to update or delete your information, or to withdraw consent, contact us at: privacy@headwayspot.com.

If you prefer postal communication, send mail to the registered address above and include your full name and email.

3. What information we collect

We collect two categories of information:

a) Non-personal (anonymous) information

Information that does not identify an individual, for example:

  • Device and browser type, screen resolution, operating system
  • Usage and analytics data (pages visited, time spent, features used)
  • IP-derived geolocation (city/region level only)
  • Clickstream and aggregated performance data
  • Error reports, diagnostic logs and feedback you voluntarily provide

b) Personal information (PII)

Information you provide or that is linked to you, for example:

  • Name, email address, job title, company name, phone number
  • Billing and payment details (handled by payment providers)
  • Account credentials and profile information
  • Content you upload to the Platform (documents, messages, metadata)
  • Any information you voluntarily provide in support requests or forms

We treat Non-Personal Information as personal information if it is combined or associated with PII.

4. How we collect information

  • Directly from you when you register, fill forms, upload files, contact support, invite colleagues, or interact with the Service.
  • Automatically via cookies, analytics, server logs and similar technologies.
  • From third parties you connect to the Service (e.g., Google, Facebook) where you authorize that connection.
  • From other sources (for example, if a colleague invites you to the Service).

5. Cookies and similar technologies

We use cookies and similar technologies to:

  • Provide core site functionality and session management
  • Remember your preferences and settings
  • Produce aggregated analytics and improve the Service

We use session cookies (expire at end of session) and persistent cookies (remain between visits). We do not use behavioural advertising cookies. Third-party analytics (for example Google Analytics) may set cookies; those providers’ policies apply to their cookies.

You can block or delete cookies through your browser settings. Blocking cookies may affect the Service’s functionality.

6. Do Not Track (DNT)

We honour Do Not Track settings — where a browser sends a DNT signal, we will not track, plant cookies, or use advertising tied to that signal.

7. Third-party services and integrations

The Service integrates with or may share data with trusted third parties to provide features, including but not limited to:

  • Authentication: Google OAuth 2.0
  • Payment & billing: Razorpay, Zoho (or similar payment processors)
  • Cloud providers: AWS, Google Cloud, Microsoft Azure
  • Analytics: Google Analytics
  • Chat & support: Crisp (or similar)
  • AI/ML services: OpenAI, Google Bard, Meta Llama, Nanonets (for document processing and features you enable)

When you enable an integration, you authorize us to access and store the data the third party provides. Check each third party’s privacy terms before connecting.

We do not sell your personal information. We only share PII with third parties as necessary to provide the Service (and only under contracts requiring confidentiality and security).

8. Legal use of data & aggregated information

  • Client Data: If you are an Authorized User invited by a Client (your employer or organisation), the Client owns the Client Data. We process Client Data to provide the Service under the Client’s contract with us.
  • Aggregated Information: We may create and retain aggregated, de-identified datasets derived from Client Data and other information. Aggregated Information does not identify any person or Client and we may use, disclose, sell or publish Aggregated Information for our business purposes.

9. Use of your information

We use collected information to:

  • Provide, operate and improve the Service
  • Authenticate accounts and manage access
  • Process payments (via payment providers)
  • Communicate about updates, billing, and support
  • Monitor and improve security and performance
  • Perform research and produce aggregated analytics
  • Meet legal or contractual obligations

We may contact you for product announcements, updates or marketing (where permitted). You can opt out of marketing emails using the unsubscribe link or by emailing privacy@headwayspot.com.

10. Document processing and AI models

If you upload documents or grant access to AI features, we may store and process those documents to deliver the feature. We may use third-party AI services (e.g., OpenAI) to analyze or enhance content where you have enabled such features. We take steps to limit data exposure to third parties and require contractual protections, but you should not upload highly sensitive personal data unless necessary.

11. Payment & credit card data

We do not store full payment card details on our servers. Payments are processed by third-party payment providers (e.g., Razorpay, Zoho). Any card data you submit is handled directly by the payment provider and is subject to their privacy and security policies.

12. Security

We maintain reasonable administrative, technical and organisational safeguards to protect your information (e.g., encrypted connections, restricted access). However, no internet transmission is completely secure. We will notify affected users as required by law if we become aware of a personal data breach.

13. Data retention

We retain personal information for as long as needed to:

  • Provide the Service and meet contractual obligations
  • Comply with legal obligations
  • Resolve disputes and enforce agreements
  • Perform legitimate business purposes (analytics, fraud prevention)

If you request deletion and it is legally permissible, we will delete or anonymize your personal data within a reasonable period, subject to lawful retention obligations.

14. International transfers

Your information may be stored and processed in countries outside your home country. When we transfer data internationally we require recipients to maintain protections at least equivalent to those described in this Policy and to comply with applicable laws.

15. Disclosure required by law; business transfers

We may disclose personal information if required by law or to protect legal rights. If we merge, are acquired, or transfer assets, user data may be part of that transaction — in that event we will require the acquirer to respect this Policy.

16. Children

Our Service is not intended for children under 16. We do not knowingly collect PII from children under 16. If you believe we have collected such information, contact privacy@headwayspot.com and we will take steps to remove it.

17. Your rights and choices

Depending on local law, you may have rights to:

  • Access the personal information we hold about you
  • Request correction or deletion
  • Object to or restrict processing
  • Request portability of your data
  • Withdraw consent where processing is based on consent

To exercise rights, contact privacy@headwayspot.com. We will verify requests and respond as required by law. If you are an Authorized User invited by a Client, some requests (for example deletion of Client Data) may need to be handled by the Client.

18. Fair information practices, complaints and dispute resolution

We aim to follow fair information practices. If you have a privacy concern or complaint, contact privacy@headwayspot.com first; we will investigate and respond. You may also have the right to lodge a complaint with a supervisory authority in your jurisdiction.

19. Do Not Track & marketing preferences

We honour Do Not Track signals where technically feasible. To stop receiving marketing communications, use the unsubscribe link or email privacy@headwayspot.com.

20. Third-party links and social media

The Service may link to third-party websites. We are not responsible for their privacy practices. Review third-party privacy notices before providing personal information.

21. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you (for example, by email or in-app notification) and publish the updated policy on the Site with a revised “last updated” date. Continued use after the change means you accept the updated policy.
